A. The Vice-Chairperson is responsible for maintaining the official records of the Tribal Council meetings, actions, documents and other information. Such official records will be maintained pursuant to the Tribe’s record management policy.

B. Tribal Council meetings may be recorded, with a majority vote of Tribal Council. Such recording(s) will become part of the Tribal Council official meeting record.

C. Tribal Council meetings must be documented by the official meeting record. The Tribal Council official meeting record includes the official agenda, meeting minutes, resolutions (whether passed, denied or tabled) and incorporated documents, vote results, and any other documents presented to Tribal Council for discussion. The official meeting record will be retained permanently.

D. Tribal Council resolutions, as the official written record of Tribal Council action, must be maintained in a resolution record book, in sequential and chronological order, and retained permanently.

E. Tribal Council records also include incoming and outgoing correspondence, electronic communications, and other documents and information received or sent by Tribal Council members individually and Tribal Council as a whole outside of Tribal Council meetings and in the course of conducting official Tribal Council business.
